Student management system in India
A student management system holds each student’s record for the whole time they are with the school: admission and documents, class history, attendance, assessment results, transfer certificate and alumni status. Fees, transport and payroll attach to that record in a full school ERP, but the record itself is the part you cannot afford to get wrong.

Data protection, in plain terms
India’s Digital Personal Data Protection Act, 2023 treats a child’s data as a special case: it requires verifiable parental consent and prohibits tracking and targeted advertising directed at children. A school is the entity answerable for that, and the software vendor processes data on the school’s behalf.
The practical consequences are contractual, not technical. Ask for the vendor’s obligations in writing: where data is stored, who inside the vendor can see it, how breaches are notified, what happens to your data after termination, and whether any of it is used to train anything or shared with a third party.

+What student data should a school keep, and for how long?

The school does, but only if the contract says so and the product lets you export it. Ask for a full export in a readable format during the trial — not a promise that support will send one later — and check that the export includes documents and photographs, not just table rows.

The enquiry should become the student record without re-typing: online form, document upload, shortlist, fee payment, then enrolment. If admissions live in a separate tool, someone re-keys every admitted student in June, which is exactly when nobody has the time.
+What about alumni?
A student record that is archived rather than deleted at graduation gives you verifiable transfer certificates years later and an alumni list you did not have to rebuild. It costs nothing to keep if the product supports an alumni status; it is very expensive to reconstruct if it does not.
